1. Introduction
This Privacy Policy explains how BrooksCo LLC handles personal information in the course of running our green river dock and our computer systems design practice. The policy applies to the website at brooksco.buzz, to messages you send through the contact form, to calls made to the dock line, and to visits to the yard at 1565 W 2950 S, Vernal - 84078-4681, United States (US).
The website and the records behind it are maintained by the developer known as BrooksCo, working with the dock office team at BrooksCo LLC. The developer name and the company name are different, and both appear in this document so that the roles are clear. BrooksCo builds and maintains the site, while BrooksCo LLC is the business that operates the dock, answers the phone and holds the booking board.
We wrote this policy in plain language on purpose. We do not sell personal information. We do not run advertising networks on this site. We collect what we need to answer a question, hold a booking, keep a locker tag traceable and meet the ordinary legal duties that come with operating a business in the United States.
If a sentence here conflicts with what actually happens on the site, the practice on the site controls and we will correct the text as soon as we learn about the difference. We would rather fix a paragraph than leave a promise we cannot keep.
By using the site or contacting the dock, you acknowledge that you have read this policy. If you do not agree with it, please do not submit information through the site and speak with us by phone if you still need help.
2. Scope of This Policy
This policy covers personal information processed through this website and through the ordinary operation of the BrooksCo LLC dock office. It does not cover information that you share with a third party after leaving our site, including a mapping service, a payment provider reached through a different portal, or a social media page operated by someone else.
The site describes dock services, including group river days, gear shed hire, shuttle run coordination, dockside storage lockers, season launch support and safety briefing sessions. Some of the records we keep serve those services, such as a shed hire sheet or a shuttle board. Those records are within the scope of this policy.
We also maintain a small computer systems design practice connected to the same business. That work may involve client contact details, project notes and technical records. Those records are treated the same way as dock records: kept to the extent needed, shared only with the people who need them, and deleted when the reason for keeping them ends.
Some pages may be hosted on infrastructure that we do not control directly but that we configure and administer. Where that is the case, the hosting arrangement is still governed by this policy and by the contract between BrooksCo LLC and the hosting provider. We do not treat a hosting boundary as a reason to relax our own standards.
3. Information We Collect
We group the information we handle into three broad categories: information you give us directly, information the site collects automatically as a normal part of serving a page, and information created by the dock office while a booking or a hire is active.
The first category is the largest. The second is small and mostly technical. The third exists so that a shed key, a locker tag or a shuttle run can be traced to the right person. We keep the categories separate in our records, which makes it easier to answer a request about one of them without disturbing the others.
We do not collect biometric data, we do not operate facial recognition, and we do not record calls made to the dock line. We do not ask for a Social Security number, a bank account number or a government identification number through this website.
4. Information You Submit Directly
When you use the contact form, you may provide a name, an email address, a subject line and a message. The message may contain any detail you choose to include, such as a date, a group size, a question about a shed or a shuttle landing. You control what goes into that box, and we ask that you keep it to what the dock office needs to answer.
When you call the dock line, we may write down your name, phone number and the substance of the request on the paper board or in the office notebook. We do not record calls. If you prefer not to give a name, we can still answer a general question, but a booking cannot be held without a way to reach you if the water or the weather changes.
When you hire a gear shed, a storage locker or a shuttle run, we record the details needed to run the hire, which may include a name, a contact number, a vehicle description, an estimated return time and a tag number. A locker tag is a number, not a person, but it is linked to a name on the gate log so that a lost ticket can be resolved.
If you send us a message by email to info@brooksco.buzz, your email provider, your message content and any attachments are handled under this policy once they reach our inbox. We do not forward dock messages to third parties except as described in the sharing section below.
5. Information Collected Automatically
Like most websites, the server that delivers these pages may record routine technical information when a request is made. That information can include an internet protocol address, a browser type and version, a general location derived from the address, the page requested, the time of the request and a referring address where one is supplied.
This information helps us keep the site available, diagnose a broken page and understand in broad terms which pages people find useful. It is not used to build a profile of an individual visitor, and it is not combined with the contents of the contact form.
The site loads its stylesheets and its script from the same domain. We do not embed third party advertising scripts, tracking pixels or social media widgets on the pages described by this policy. If that changes, this section will be revised before the change goes live.
Your browser may store a small amount of local data, such as a form field value, to make a return visit more convenient. That data stays on your device and is not transmitted to us unless you submit the form.
6. How We Use Information
We use personal information to reply to messages, confirm bookings, prepare a shuttle board, issue a shed key or a locker tag, and keep the dock office running in an orderly way. We also use it to resolve a dispute, to honor a return request and to meet record keeping duties that apply to a business of this kind.
We may use a contact address to send a short follow up about a booking you have requested, such as a reminder of the meeting time or a note that a landing has changed. We do not add people to a marketing list without a clear request, and we do not send bulk promotional email from this site.
Aggregated numbers, such as how many bookings were taken in a month or how many sheds were hired in a season, may be used to plan staffing and shed inventory. Those summaries never identify a person and are not sold or published in a form that could be traced back to a customer.
We may use information to protect the dock, the boats and the people on the plank, for example by confirming that a group has completed a safety briefing session before a launch, or by contacting a crew when a route is closed.
7. Our Legal Bases
Where the law of a particular place asks a business to identify a lawful basis for handling personal information, we rely on the following grounds. First, we process information to perform a service you have asked for, such as a booking, a shed hire or a shuttle run. Second, we process information where we have a legitimate interest in running the dock safely and answering inquiries.
Third, we process information to comply with a legal obligation, such as a tax record or a safety reporting duty. Fourth, where a request is optional, such as a note of thanks or a seasonal newsletter, we rely on the consent you give when you ask for it, and you may withdraw that consent at any time.
We do not rely on a legitimate interest where the effect on a person would be unreasonable. For example, we do not use legitimate interest as a reason to send repeated marketing messages to someone who has only asked a one time question about locker sizes.
10. Service Providers
We keep the number of outside providers small. A hosting provider delivers the pages and stores the site files. An email provider handles messages sent to the address published on the contact page. A bookkeeping provider may see a record of a paid hire when the year is closed. A phone carrier handles calls to the dock line and naturally sees the calling number.
Each provider is chosen for reliability and for a reasonable security posture. Where a provider processes information on our behalf, we expect a written commitment that limits use to the service we asked for. We do not permit a provider to use dock records to build a marketing audience for its own benefit.
Some providers operate across more than one country. Where information moves across a border, the provider is responsible for applying safeguards appropriate to that transfer, and we review the arrangement when it is renewed. We do not treat a border as a reason to lower the standard described in this policy.
11. How Long We Keep Information
A general question that does not lead to a booking is kept only as long as needed to answer it, and then deleted or archived briefly for reference. An inquiry that becomes a booking is kept for the season and for a short period afterward so that a question about a shed, a locker or a shuttle can still be answered.
Financial records connected to a paid hire are kept for the period required by tax and accounting rules. Safety records connected to a briefing session are kept for a reasonable period so that we can show that a briefing took place if a question arises later.
Locker tags and gate log entries are kept for a limited time, because their purpose is to resolve a lost item or a dispute in the days after a visit. Paper board entries are cleared at the end of the season once the summaries are written.
When a retention period ends, records are deleted or paper is shredded. We do not keep records indefinitely simply because storage is inexpensive. A record with no purpose is a liability, not an asset.
12. How We Protect Information
Access to dock records is limited to the people who need it to run the office, the plank and the shuttle board. The site is served over an encrypted connection, and administrative access to site files uses strong credentials that are not shared between people.
Paper records live in the office beside the oar rail and are not left on the plank or in a shed overnight. Lockers are emptied and wiped at the end of the day, and items left behind are secured in the office until they are dealt with under the terms of service.
No system is perfect. If a security incident affects personal information, we will investigate promptly, take steps to limit the effect, and notify affected people and any authority where the law requires it. We will describe the incident honestly rather than minimize it.
Please help by using a strong password for any account you hold with an online service, by closing a contact form you no longer need, and by calling the dock line if you are unsure whether a message truly came from us.
13. Your Privacy Rights
You may ask what personal information we hold about you, ask for a copy, ask for a correction when something is wrong, and ask for deletion when we no longer have a reason to keep it. You may also ask us to limit a use that you did not expect, and we will explain whether we can honor the request.
To make a request, write to info@brooksco.buzz or call +16817321334. Please be specific enough that we can find the record, for example by giving the date of a visit, the name used at booking or the locker tag number. We may ask for a small amount of confirming detail before we act, so that we do not hand a record to the wrong person.
We aim to answer within thirty days. If a request is complex, we will tell you why more time is needed and give a date when you can expect an answer. We do not charge a fee for an ordinary request, though we may charge a reasonable cost for repeated or clearly excessive requests.
If you are not satisfied with our response, you may raise the matter with a supervisory authority in your place of residence or ask us for the contact details of the relevant body. We would rather resolve a concern directly, and we will take a complaint seriously whether or not it is formally filed.
14. California Privacy Notice
If you are a California resident, the state privacy law gives you the right to know what categories of personal information a business collects, the right to request deletion, the right to correct inaccurate information and the right not to be discriminated against for making a privacy request.
The categories we collect are identifiers such as a name, an email address and a phone number; commercial information such as a booking or a hire record; and internet or network activity such as the technical data described in this policy. We collect them for the purposes described above, and we do not sell them or share them for cross context behavioral advertising.
You may exercise a right by writing to info@brooksco.buzz with the phrase California privacy request in the subject line, or by calling +16817321334. An authorized agent may make a request on your behalf where the law allows it, and we may ask for proof of that authority.
We will not deny a service, charge a different price or provide a lower quality of service because you exercised a privacy right. A booking is a booking, and a privacy request does not change the terms you receive at the plank.
15. Privacy for Children
This site is written for adults who are planning a dock visit or asking about a shed. It is not directed to children, and we do not knowingly collect personal information from a child through the contact form. A group booking made for a school or a family may include the number of young people in the group, but we do not ask for their names through this website.
At the dock, a briefing session may involve young people, and a parent or guardian is expected to stay for the session. Any record created at the plank concerns the responsible adult who made the booking. If you believe that a child has sent personal information through this site, contact us and we will delete it.
We do not use personal information from a young person for marketing, and we do not build a profile of a child. That rule applies to every part of the business, not only to the pages that describe a family day.
16. Links to Other Sites
This site may link to a mapping service, a weather page or another resource that helps you plan a visit. Those sites are operated by other organizations and have their own privacy policies. We do not control what they collect, and a link from our page is not an endorsement of their practices.
When you follow an outside link, you leave the policy described here. We encourage you to read the privacy notice on any site before you give it personal information. If you believe a link from our page leads to a site with harmful practices, tell us and we will review it.
17. Changes to This Policy
We revise this policy when the way we work changes, for example when a new tool is added to the site or when a record keeping practice is updated. The date at the top of the page shows when the current version took effect.
If a change materially affects how we handle information already collected, we will take reasonable steps to tell the people concerned, such as a notice on the site or a short message to an active booking contact. We will not apply a new use to old information without a clear reason and, where required, a fresh consent.
An older version of this policy is not kept on the site, but you may ask the office for a summary of what changed if you need it for your own records.
18. How to Contact Us
Questions about this policy, a privacy request or a concern about how information was handled may be sent to the dock office by email at info@brooksco.buzz or by phone at +16817321334. The office is staffed during dock hours, and a message is placed on the paper board the same day the office is open.
Our postal address is BrooksCo LLC, 1565 W 2950 S, Vernal - 84078-4681, United States (US). If you write to us, please include a way to reply and a short note of what you need, so the request can be routed to the right person quickly.
This policy is published by BrooksCo LLC. The website was designed and is maintained by the developer BrooksCo. Both parties keep the commitments described above, and a request sent to either name will reach the same office.
This policy does not create a contract for dock services. The terms that govern a booking, a shed hire, a locker or a shuttle run are set out on the Terms of Service page. Read both documents together before you make a booking.
